Job Description: The Office Manger is responsible for overseeing the entire administration duties and management of office operations within the agency. The Office Manager report to and work with the Executive Director. The Office Manager will also work with Project Director and Financial Manager with any requested projects.
Responsibilities:
Ensure the effective daily operations of the national office and remote locations. Manage payroll, benefits administration, bonuses, leave balances, employee databases, and other aspects of human resources. Manage deadlines and prepare state and federal filings, tax exemptions, state charitable registrations, NAVASA insurance policies, and other legal filings and reportings. Manage relationships with NAVASA vendors, negotiate contracts, and make purchasing recommendations. Manage NAVASA databases, enter data, and ensure accuracy of information. Maintain supplies, office equipment, telecommunications, and all other aspects of the office Track IT needs and requests, assist with IT administration when possible, and call in IT consultants when needed. Provide assistance to the Executive Director and support to the board, including arranging travel, scheduling meetings, and disseminating materials for board meetings. Take notes at board meetings and track action items at staff meetings. Assist the staff with logistics for events and other major projects, such as in-person staff meetings, board meetings, trainings, bulk mailings, and fundraising events. Institute and enforce Organization Policy Maintain updated information on member and partner organizations. Answer phones when needed, check general email and voicemail boxes, and respond to requests for information. Other related tasks as appropriate.
Job Requirements: Minimum 2-3 years related experience, preferably in office management or a related field Superior organizational and administrative expertise. Experience creating and implementing office systems, or a strong vision for doing so. Excellent attention to detail / Detail Oriented Ability to manage confidential information. A positive attitude and friendly personality; ability to get along with many types of people. Proficient in Microsoft Office programs. Ability to communicate in Vietnamese is a plus, but not required
